Callum Workflow

Step 1: Sales Tracking

  1. Review the Sales Board Excel:

    • Check for information on the sold jobs.
    • Note the dates when jobs were sold.
  2. Manually update Excel:

    • Create a new Excel sheet.
    • Input fields like name, date sold, roofing days, electrical days.
    • Copy relevant data from the Sales Board Excel.
  3. Cross-reference with Monday:

    • Prevent double booking by checking if the job has already been scheduled in Monday.
  4. Double-check in ServiceM8:

    • Ensure that jobs are not scheduled twice.

Step 2: Enterprise Software Usage

  1. Search for the job in the enterprise software.

  2. Examine panels:

    • Look at the type and layout of solar panels.
  3. Analyze the installation on the 3D top-down view:

    • Estimate how long it will take to install the panels.
  4. Retrieve pictures from SharePoint:

    • These pictures likely provide visual references for the installation.
  5. Estimate installation time:

    • Consider factors like the type of tiles, panel layout, and design.
    • Calculate estimated installation time based on these factors.
  6. Look at electrical aspects:

    • Likely involves reviewing the electrical requirements for the job.
  7. Check financials:

    • Examine financial data related to the job.

Step 3: Survey Management

  1. Check all survey pictures for clarity:

    • Ensure that survey images are clear and provide the necessary information.
  2. Rename pictures if necessary:

    • Rename pictures to indicate where components should be placed based on the survey.
  3. Address problems:

    • If issues are identified, contact groundworkers for assistance.
    • For example, if cables need to be run underground.

Step 4: ServiceM8 Usage

  1. Check Monday for DNO:

    • Monitor the status of the Distribution Network Operator (DNO) confirmation.
  2. Schedule jobs:

    • Schedule jobs based on a 9-week timeline from DNO confirmation (preliminary scheduling).
    • Note that scheduling can't be completed until DNO confirmation is received.
  3. Put schedule into the calendar:

    • Add job schedules to the company's calendar.
  4. Schedule scaffolding and materials:

    • Ensure scaffolding and materials are scheduled a week before the installation.
  5. Use ServiceM8:

    • Add notes to jobs if Callum is off or if there are changes to the job.

Step 5: Monday Scheduling

  1. Insert the installation start date into Monday:

    • Begin the scheduling process in the Monday software.
  2. Manage scaffolding:

    • Schedule the erection and removal of scaffolding.
    • Scaffold removal typically occurs two days after the electrical work is completed.
  3. Coordinate delivery dates:

    • Ensure that materials and equipment are delivered as needed.

Step 6: General Responsibilities

  1. Handle customer queries:

    • Address inquiries or concerns from customers.
  2. Address on-site problems:

    • Deal with issues that arise during the installation process.

Additionally, there is a note about sending auto emails related to DNO updates, suggesting that Callum may also be responsible for communicating updates to customers or relevant parties as necessary.
